How to exchange one serial numbered item for another?

Option 1: The Swap.
1.   Go to Inventory
2.   Go to Tracked
3.   Go to Swap a tracked item with another.
4.   Enter the serial number you wish to retrieve.
5.   Enter the serial number you wish to replace it with.
6.   Enter the reason for the swap.
7.   Enter the date of the swap.
8.   Answer "Y" to the question asking you if you wish to post.
Using this option will cause a "Global" change in the system. It will go to Orders, Recurs and Claims and change the number in all of these places. It will NOT be reflected in the item history!! This option is best used when the change is temporary in nature, such as a loaner item replacing an item till it is repaired.  For more detailed record keeping you should use option 2.

Option 2: The Pickup and Replace
1.   Pickup the item.
2.   Enter new order for the same patient for the same item for the same dates, but use the new serial number.  This does not create a "Global" change. It affects only the records you are working with. 

    Example....If you pickup a recurring order, it will create a pickup order in Orders.  When posted, this will delete the recurring order and remove the patient number from that item.  If you pickup an item that was not in recurs, but had been put out to Claims, the patient number is removed from the item, but the claim is not affected.  If you change the serial number on a new order, then nothing happens in inventory.  This is because the order has not been posted, so no attachment of that item to the patient will exist until it is posted to the patient.  Using this option will create history on the item and makes tracking of any maintenance easier to document
